How Participant Replacement Works

If a confirmed participant drops out, cancels or does not attend, DLYTE supports a replacement process so your study can continue.

A replacement may be needed when:

  • A participant is marked as a no-show
  • A participant cancels
  • A booking is cancelled and the study still needs another participant

When this happens, DLYTE marks the study as needing a replacement and sends your team an email notification.

The study then returns to recruiting. Replacement is not automatic. Your team chooses who to accept.

You can select a replacement from:

  • Waitlisted applicants — participants you previously reviewed and kept on hold
  • New applicants — participants who apply once the study is recruiting again

The replacement participant goes through the same review and approval process as the original participant. You can review their match score, eligibility checks, screener answers, profile data and connection quality before accepting them.

Once accepted, the replacement participant moves through the same session flow: time confirmation, reminders, consent before joining and session participation.

Participants who cancel late or fail to attend may have a reliability event recorded against their profile. This can reduce their priority in future matching.
